Overview

As PT BUMA’s coal mining operations scaled in 2023, maintenance planning for heavy equipment still ran on manual, disconnected processes, causing delays and miscommunication on-site. The digital planning system streamlines scheduling for critical equipment like excavators and tractors, reduces downtime, and connects planning, execution, and maintenance teams around integrated, real-time data.

Problem

As BUMA’s coal-mining operations scaled in 2023, maintenance planning for critical equipment like excavators and tractors still ran on manual, fragmented tools: Excel, WhatsApp, and paper. Nothing was connected, so teams lost time on scattered files, over-allocated equipment, and reactive fixes, and what got planned rarely matched what happened in the field. The goal was to replace scattered manual work with one structured, data-driven planning system that planning, execution, and maintenance teams could all work from.

Key Features

  • Maintenance work management: create, edit, and prioritize maintenance plans by importance and urgency.
  • SAP integration: view, retrieve, and sync job data directly from BUMA’s SAP in real time.
  • Excel import: bring in jobs built in spreadsheets, with columns mapped automatically.
  • Resource availability monitoring: check machines, parts, and labor, with alerts when they run short.
  • Automated scheduling: auto-generated schedules from availability, with manual override.
  • Reusable templates: save planning templates with custom columns for recurring work.
  • Gantt-chart planning: a visual timeline for coordination across teams.
  • Reports and analysis: performance reports and searchable job history for auditing.

Approach

  • Plans grounded in real data: direct SAP integration and Excel import pull jobs from existing systems, so planners stop re-entering the same data across three files.
  • Automated scheduling, humans in control: the system proposes a schedule from machine, part, and labor availability, and planners adjust when the field demands it.
  • One shared, visual source of truth: a Gantt-chart timeline with role-based access keeps planning, execution, and maintenance teams aligned on the same plan.

The system replaced scattered manual scheduling with a single, data-driven source of truth: plans pulled from SAP, resources checked before work is booked, and a shared Gantt timeline that keeps the field and the office aligned. It’s built to cut downtime, reduce scheduling errors, and scale as BUMA’s fleet grows.
